Event Participation Terms & Conditions

Welcome! We’re excited to have you join us at Oilfield Water Connection’s conferences. To ensure a smooth experience for all attendees, speakers, and sponsors (“Participants”), please review the following Terms and Conditions. By registering, sponsoring, speaking, or attending any of our events, you agree to these policies. 

  1. Registration and Payment. Conference registrations and sponsorship packages must be paid in full prior to the event. Your spot is confirmed once payment is received, and we can’t guarantee access until then.
  2. Arrival & Badges. Your first stop upon arrival must be at our registration desks to pick up your badge. Your badge must be worn at all times when you are in our conference areas.
  3. No Refunds, But We Can Offer Transfers. Please note that all registrations and sponsorship fees are final. We’re unable to offer refunds under any circumstances—including schedule changes, travel disruptions, or speaker substitutions. If you register and can no longer attend, no worries—you’re welcome to transfer your registration to someone else from your organization. Just let us know in writing at least five (5) business days before the Conference.
  4. Indemnification. By joining us, you agree to take responsibility for your own participation. That means you agree to indemnify and hold harmless the Conference organizers, staff, Oilfield Water Connection, volunteers, vendors, sponsors, and partners from any claims, damages, or expenses that may result from or during your attendance or sponsorship activities.
  5. Code of Conduct. Our conferences are designed to be welcoming, professional spaces. We expect all Participants to treat one another with respect. Anyone engaging in disruptive, disrespectful, or inappropriate behavior may be removed from the event at the discretion of the organizers, without refund.
  6. Program Adjustments. We do our best to deliver the program as advertised, but sometimes changes happen. Speakers, sessions, and schedules may shift. Rest assured we’ll keep the Conference valuable and engaging, even if adjustments are needed.
  7. Attendee List & Photography Media Release. By registering or attending, you acknowledge and agree that photos and video may be taken during the event and the attendee list may be shared with all attendees as well as in conference marketing material. We may use these images and attendance histories in future conference marketing or materials, unless you let us know otherwise in writing before the event. You and other attendees are also welcome to use the photo materials in your own marketing without needing any permissions. We may also have press present at the event covering the content and happenings with writing and photos and videos. 
  8. Health, Safety, and Liability.  Your safety and comfort are our priority, but please understand that attending the conference is at your own risk. The organizers are not responsible for personal injury, lost items, or property damage (including to your exhibits or personal belongings) while you’re participating in conference activities.
  9. Sponsor Opportunities. For our sponsors, all benefits and deliverables are managed by the organizers and may shift slightly based on logistics. If adjustments are required, we’ll do our best to ensure you still receive fair and meaningful visibility.
  10. Governing Law. These Terms are subject to the laws where our conferences take place. Any disputes will fall under the jurisdiction of local courts in that state.
